A shared voicemail is a valued feature that works well when a team needs to manage incoming voice messages together.

Our shared voicemail is a tool for collaborating on incoming voice messages by:

  • Assigning to a specific user in your PBX

  • Listening to the message

  • Leaving comments

  • Setting status (new, in progress, or closed)

Create a Shared Voicemail

In the portal, click the menu “PBX Modules → Shared Voicemail” and then click the plus sign ().

  • Choose a suitable name for your voicemail.

  • Write a short description (optional).

  • Select an appropriate audio file that will play before the message recording starts.

There are two types of Message handling, which define how incoming voice messages are handled.

Default:
In this mode, incoming messages are managed in the clients, either in the mobile or desktop app. In Default mode, it’s easy to collaborate and show each other whether a voicemail has already been handled or not. Here you can read about how it works in the mobile app.

Access: For users to access a shared voicemail through the clients, the correct access are required.

Email:
When a shared voicemail is set to Email mode, the voice message is sent as an attachment in an email to one or more recipients.

Give access

Users who need access to the shared voicemail must also be granted access. As an admin in the PBX, you provide access by clicking on Users → Access in the main menu. Select the group your users belong to, or create a new one if needed.

The access required for the users in the group is called “App: Ticket”.
