If you need to make temporary changes to the company's call flows, you can easily access this in the mobile app under "Main Menu → Company." Here, you can both activate and deactivate call flows as well as change and create new sound files.
Call flow control
With call flow control you can quickly change a call flow. For example, to temporarily close it. Activate a pre-programmed call flow control by toggling the switch to "On." New call flow rules are created in the Infinity portal, see call flow control.
For the call forwarding rules that direct to a sound file (i.e., playing a message to the caller), you can also change which sound should be played. Click on the call forwarding rule you want to modify and choose the sound you want to switch to. If a suitable sound is missing, you can record a new one. See Manage sounds below.
Manage sounds
Under Manage sounds, all the sounds in the switchboard are listed, and you can easily listen to all the existing sound files. If you have many sound files, you can choose to sort them either by Name or Date by clicking the menu in the top-right corner.
If you want to create a new sound, click on the plus iconto create a new one. Then, choose whether you want to record the sound directly on your phone or use text-to-speech.
Record new sound
To record a sound file directly on your phone, select "Recording." Start by entering a name and a good description, as this will help in the future if the sound file needs to be reused. Keep in mind that the app will need access to your microphone, see permissions for more details.
To begin the recording, click on the record buttonand stop with the stop button
.
Immediately after stopping the recording, the sound will play automatically. If you're not completely satisfied or need to make changes, simply click the record button again, and it will overwrite the previous recording.
When you're satisfied, save the sound file by clicking the save buttonin the top-right corner.
Text-to-speech
Start by naming your sound file, preferably with a descriptive name, as this will help in the future if you want to reuse the sound file.
Then, enter the text you want to be read aloud in your sound file. Make sure to be as clear as possible. Avoid abbreviations and use short sentences when possible, as this helps TTS (Text-to-Speech) handle the text better and sound more natural. Before clicking "Create," choose the language that matches your text and whether you prefer a male or female voice.
When you click "Create," you'll have the opportunity to review the text to ensure it's accurate before it's generated. If you're satisfied with the sound file, save it by clicking the checkmark in the top-right corner. If you're not completely satisfied, you can adjust both pitch and speed under "Voice Settings." After adjusting, click "Create" again.
